Youth Dreamers Foundation (YDF) is a not-for-profit organization registered under Sec 8 (1) of the Companies Act, 2013. YDF intends to realize an “equal opportunity” approach in accessing higher education to make higher education more inclusive, accessible, and affordable for marginalized sections of society.

One of the most important ways to improve the access to higher education is providing scholarships to needy students. There are numerous public & private scholarship schemes that are available, however, they fail to reach the right candidates. YDF works with different stakeholders to bring in higher efficiency and efficacy in the system.

About the Position

1. The Program Associate – DIP Operations is responsible for executing the key program activities like outreach, due diligence, partnerships, and execution support to govt officials. The Program Associate delivers on all this through a team of Scholar Saathis’. S/he ensures the completion of all the tasks within set timelines. S/he also supports the smooth functioning of the office.

A Program Associate works with:

Scholar Saathis: to plan & oversee quality inbound & outbound calls
Educational Institutes: to resolve their critical challenges regarding scholarships processes
Program Manager: to support in communications to & from external stakeholders

Overview

Job Type: Full-time
Salary: ₹ 20,000 to ₹ 25,000 per month, commensurate with experience and skills
Probation: Three months; salary during probation to be ₹ 2-3,000 less than a full-time salary
Office timings: Monday to Saturday, 9:30 am to 5:30 pm
Reporting To: Program Manager
Location: YDF Office, Patna
Travel: Needs-based field visits to schools/colleges

Key responsibilities

They are expected to take up the following responsibilities:

Self-learning

  • Keeps up-to-date with official information of various private & government scholarship schemes
  • Engages with the larger YDF team to understand commonly faced challenges and their solutions for different scholarships schemes

Planning & Management

  • Manages a team of 4-5 Scholar Saathis and is responsible for resolving their issues
  • Tracks progress of work through weekly meetings, etc.
  • Identifies & raise Saathi’s challenges & best practices
  • Maintains all records & progress reports of the work taken up by the Scholar Saathis
  • Supports the smooth functioning of the program
  • Helps in managing the office activities along with the larger YDF team

Scholarships Support

  • Ensures that Scholar Saathis provide timely resolution to all scholarships-related queries of YDF stakeholders (students, institute officials, NGO partners, volunteers)
  • Compiles & updates regularly frequent challenges faced by students & institutes
  • Identifies different ways of resolving such challenges such as – SOPs, FAQ documents, explainer videos, posters, etc.
  • Verifies accuracy of informational content prepared by YDF as per official guidelines

Outreach

  • Plans weekly targets for inbound & outbound calls, along with Saathis & the rest of the team
  • Meets these targets by supporting Saathis on a day-to-day basis
  • Monitors YDF outreach across different areas & stakeholders and generates insights
  • Leverages the Saathis and other online/offline channels for disseminating information

Desired Profile

  • Graduate degree
  • Freshers can also be considered, but candidates with previous experience especially in managing teams will be preferred
  • Excellent computer skills (MS Excel, MS PPT, and Google Spreadsheets, etc.)
  • Proven ability to independently handle multiple diverse assignments simultaneously, successfully complete assigned tasks, and meet deadlines while conducting high-quality work
  • Excellent verbal & written communication in Hindi, English (and any local language)

2. Program Associate – MIS

The MIS Associate is a crucial support function for YDF’s operations teams across all geographies. They enable other teams to make informed decisions by providing access & analysis of relevant datasets. They automate various aspects of data management and analysis to improve efficiency in the execution. They help prepare reports to be sent to the stakeholders by collating and analyzing data.

MIS Associate works with:

YDF Operations Teams: to collate, plan, analyze through data
Program Manager: to prepare & maintain progress-tracking dashboards

Overview

Job Type: Full-time; contract to be renewed annually
Salary: ₹ 18,000 – ₹ 25,000 per month, commensurate with experience and expertise
Probation: Three months; salary during probation to be ₹ 3,000 less than a full-time salary
Office timings: Monday to Saturday, 9:30 am to 5:30 pm
Reporting To: Program Manager
Location: YDF Office, Patna (remote option is also available)
Travel: Limited; mainly visits schools/colleges across various states

Key responsibilities

They are expected to take up the following responsibilities:

Self-learning

  • Keeps up-to-date with official information of private & government scholarship schemes
  • Regularly explores various online/offline databases or portals relevant to YDF operations

Data Collation & Management

  • Compiles & cleans datasets from internal, government & other public online/offline portals
  • Maintains these datasets in the larger YDF database (MS Excel sheets, Google spreadsheets, etc)
  • Automates processes of data collation, scraping, cleaning, etc.
  • Takes regular backups

Data Analysis & Reporting

  • Creates tables, graphs, dashboards, etc. from different datasets
  • Cross-references different datasets with each other
  • Identifies trends & patterns to generate insights
  • Automates report-generation according to the needs of various stakeholders

Program Associate shall also help in managing the office activities along with the larger YDF team.

Desired Profile

  • Graduate degree/Diploma in IT, Computer Applications or any other technical degree (candidates with exceptional data analysis skills but having other degrees may also be considered)
  • Experience with software for web scraping and/or data analysis (Tableau, R, etc.) will be preferred.
  • Acumen and desire to learn such software is a must
  • Freshers can be considered, but candidates with previous experience in data analytics or any computer-based job will be preferred

The Program Associate – Scholar Connect is a crucial role in conceptualizing & delivering personalized support to YDF alumni. S/he identifies potential candidates and sponsors for retail/private scholarships.

The Program Associate works with:

Past Scholars: to ensure effective utilization of scholarships, identify needs & challenges
Incoming Scholars: to form a commune of scholars, engage them throughout the year for mentorship
Scholar Saathis’: to identify potential candidates for private scholarships
Program Manager: to support in managing partnerships with various scholarship providers

  • Ensures Scholar Saathis engage (virtual/offline) with identified communities of YDF Scholars
  • Coordinates with YDF partners to plan & execute events for scholar communities
  • Maintains a repository of information for each scholar – including current educational details, needs to be identified, the support provided, engagement metrics, individual progress milestones, etc.
  • Creates work plan and supports in the design of the curriculum to engage scholars
  • Leverages community networks to identify suitable candidates for future batches of scholarships

Scholar Selection

  • Generates applications for various scholarship programs facilitated by YDF
  • Plans & executes end-to-end selection processes, including application forms, shortlisting, virtual/offline interviews & FGDs, etc.
  • Verifies educational & other details and documents submitted by candidates
  • Identifies & recommends ideal candidates for receiving scholarships
  • Maintains a repository of information for each applicant in the larger YDF database

Scholarship Provider Engagement

  • Regularly communicate to our scholarship providers progress metrics of scholars or progress updates of the scholarship selection process
  • Customize communication templates for each of our scholarship providers

Desired Profile

  • Excellent computer skills (MS Excel, MS PPT, and Google Spreadsheets, etc.)
  • 2-3 years of experience in youth empowerment and/or community-based operations
  • Proven ability to independently handle multiple diverse assignments simultaneously, successfully complete assigned tasks, and meet deadlines while conducting high-quality work
  • Create presentations, develop documents and other collaterals as required
  • Excellent verbal & written communication in Hindi, English (and any local language)
  • Ability to work effectively both independently and as part of a team

4. Scholar Saathi

The Scholar Saathi plays a crucial role in delivering customized support to the end-users i.e. students and the institute officials. Scholar Saathi is responsible for all the communications, data collation, profile creation, due diligence, application, and verification of the stakeholders.

A Saathi works with:

Students: to identify relevant scholarships and guide them through their application processes
Educational Institutes: to ensure they fulfill the guidelines issued by scholarship providers
NGOs: to identify students & institutes requiring help with scholarships
Government officials/private scholarship providers: to highlight issues faced by other stakeholders and disseminate information

Overview

Job Type: Full-time; contract to be renewed annually
Probation: First three months
Salary: ₹10,000 p.m. during probation. ₹12000 p.m. thereafter (Salary not based on targets)
Office timings: Monday to Saturday, 9:30 am to 5:30 pm
Reporting To: Program Associate / Community Manager
Location: YDF Office, Patna
Travel: Visits to institutes during the application period. Other occasional field visits may be required

Key responsibilities

As Scholar Saathi is the face of the organization vis-à-vis students and government officials, s/he must have good etiquette and a growth mindset to deal with their queries. They are expected to take up the following responsibilities:

Self-learning

  • Manages & maintains up-to-date information about various scholarship schemes
  • Understands different stages of the scholarship application process
  • Understands the roles & responsibilities of our stakeholders, in line with scheme guidelines

Telecounseling

  • Regularly coordinates with students, institutes & other stakeholders over calls, texts, emails, etc. and maintains records
  • Builds and develops relationships with all stakeholders & supports them through different stages of the scholarship application process

Data Processing

  • Maintains records of all documents shared by students, institutes & other stakeholders
  • Reviews data for errors, missing information and resolves any discrepancies
  • Verifies the data by comparing it to official documents
  • Transcribes source data into the required format, as and when required
  • Regularly backs up the data
  • Maintains privacy of all information shared by our stakeholders

Reporting

  • Completes their target on a daily basis
  • Regularly monitoring progress status & shares with team
  • Raises challenges & best practices as and when required
  • Maintains a filing system and information

Desired Profile

  • Excellent computer skills (MS Excel, MS PPT, and Google Spreadsheets, etc.)
  • Freshers can also be considered, but candidates with previous experience in data entry or any computer-based job will be preferred
  • Excellent verbal & written communication in Hindi, English (and any local language)
  • Ability to work effectively both independently and as part of a team
