The Wells Fargo Foundation is seeking a Grants Management System Administrator who will become a subject matter expert on our third-party software, Cybergrants, used for managing philanthropic grants throughout the grant cycle. This position reports to the Head of Grants Administration for the Wells Fargo Foundation within Public Affairs, and is a primarily internal facing technical role.

In this role, you will:

  • Be responsible for systems administration of grants system (setting up users, coding table maintenance, preferences, permissions, including coordination of purging and archival of data), training, specialized reporting, and technical assistance for internal and external stakeholders
  • Oversee the creation or modification of standardized templates for use within the grants management system
  • Configure external facing grant applications including making updates to proposal types, impact reports, and various application fields
  • Conduct User Acceptance Testing (UAT) and developing and/or updating operational and training guides
  • Generate ad-hoc and specialized system reporting
  • Create and update user guide and resource documents and provide employee training, including how to run reports, template usage, and adding documents and comments to the database
  • Work with IT staff and vendor to resolve front and back end technical issues with database
  • Identify opportunities for grants administration process improvement by conducting root cause testing of identified compliance or business issues
  • Exercise independent judgment and provide guidance in escalated grants management system administration issues requiring special handling or review

Required Qualifications:

2+ years of Business Operations or Leadership experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education

Desired Qualifications:

  • 2+ years’ system administrator experience configuring and managing security of third-party applications
  • Experience serving as Administrator for two or more third party applications, preferably with philanthropic applications
  • Ability to communicate technical details to internal & external employees with little or no knowledge of database
  • Significant experience with CyberGrants and/or other grants management systems
  • 2+ years of related experience in philanthropy or grants administration, including knowledge of grant-making approaches and processes
  • Excellent project management, problem-solving and workflow/process skills
  • Demonstrated ability to take initiative, exercise judgement, prioritize, manage projects/assignments, and set/meet deadlines with an orientation toward results
  • Bachelor’s degree preferred

Ability to travel up to 10% of the time
