The George Institute India
The George Institute, a wholly owned legal not-for-profit Indian research institute, has been conducting research related activities in India since 2002. The George Institute India’s mission mirrors that of the parent organization, namely the discovery and implementation of solutions to chronic and disabling health problems through research, policy development and capacity building.

A number of large-scale projects in population, health systems and clinical research, funded by a diverse group of sponsors, both public and private, are conducted in India. It has two offices – in Hyderabad and New Delhi, where the research staff and senior management are based.

Context and Role
The George Institute for Global Health in India is growing at a phenomenal pace. The Project Support Coordinator will support the researchers and project teams in executing the administrative processes and requirement, and support project tracking of administrative tasks. This role will provide seamless support to the researchers, project teams by being the link between various internal and external stakeholders and meeting the administrative requirements.

Reporting Relationships
Directly reports to Sr. Admin Officer

Duties and Key Responsibilities     

The Project Support Coordinator would be expected to:

  • Serve as a key contact for all types of research assistance to the assigned research project and supervisor.
  • Provide support to research team to ensure timely completion of all planned activities as per the project work plans.
  • Managing calendars and scheduling zoom meetings.
  • Assist in conducting meetings, including preparing agenda, taking, and circulating minutes of the meeting.
  • Handle procurement of research related materials.
  • Review and maintain stock inventory of training material periodically.
  • Manage logistic arrangements of all the trainings including budgeting, planning the event, collating material, coordinating participants’ travel and reimbursements in consultation with Admin/Finance.
  • Assist in maintaining proper documentation of all financial transactions related to workshops and trainings.
  • Coordinate and communicate in a professional manner with the project team, donors and other stakeholders to support effective research implementation, ensure follow-up and timely reminders to different stakeholders as and when required.
  • Maintain research and office files in both electronic and physical documentation.
  • Review/submission of travel claims with required supporting, activity budget preparation, procurement actions, advance settlements against activities etc.
  • Support the research and project teams in meeting the process requirements of HR/Admin/IT and Finance.
  • Preparing essential project/study documents.
  • Tracking, distributing, and filing documents when they are returned
  • Tracking and processing payments to the sites for the deliverable, as per the contracts
  • Creating and maintaining study contact lists for study team and sites
  • Support in streamlining better work efficiencies between the various research teams.
  • Ensure seamless consultant management for researchers and other teams
  • Respond to internal and external stakeholder queries.
  • Participate in R&D meetings and other meetings as advised from time to time.
  • Any other responsibilities as assigned by the manager.

  • Participate in special projects to improve processes, tools, systems and organisation;

  • Comply with GI’s Work Health and Safety Policy and related procedures, and similar policies which apply when visiting the premises of affiliates and collaborating sites.
  • Promote and contribute to a safe, secure environment for staff and visitors.

Skills, Knowledge, and Experience

  • Qualifications: Postgraduate / Graduate degree in any other relevant discipline
  • Experience of minimum three to five years in support coordination, operational and administrative.
  • Good communication skills, both verbal and written in English.
  • Strong attention to details and ability to follow processes and navigate quickly through to get things done.
  • Strong ability to use MS Office (Word, PowerPoint, and Excel). High level of Excel proficiency is essential
  • Strong ability in data management is essential for this role.
  • Demonstrated capability to produce outcomes and achieve objectives within agreed timelines
  • Demonstrated resourcefulness, with ability to influence others to achieve common goals
  • Excellent interpersonal skills with proficiency in English, Hindi, Telugu, and the ability to work well autonomously
  • Excellent team player, with demonstrated ability to collaborate in small teams and with a wide range of varying stakeholders;
  • Ability to demonstrate flexibility and to be adaptable to changing organisational priorities and ambiguous environment.
  • Strong focus on producing the highest quality of work and on ensuring optimum accuracy of outputs
  • Excellent organizational, planning, negotiating and problem-solving skills with the capacity to work under pressure and deadlines.
