The Asia Foundation, a non-profit international development organization with headquarters in San Francisco and offices in 18 Asian countries, seeks an experienced Malaysian national with high attention to detail, strong project management skills, and good communication skills, as a full-time Assistant Program Officer to be based in Kuala Lumpur, Malaysia.
PROJECT OVERVIEW
Future Skills Alliance (FSA) is a broad coalition of partners from both the public and private sectors, working together to deliver future skills at-scale to the region’s most marginalized communities. The Asia Foundation manages multiple digital skilling projects across South and Southeast Asia through the FSA. The Foundation’s Malaysia office serves as Project Management Hub for the FSA, and this position would provide support to the FSA Program Lead in managing oversight and implementation of these skilling projects.
Requirements
- Education: Bachelor’s degree or higher in a relevant field of study including business, management, communications, social studies or development studies.
Experience: Qualified applicants must possess the following professional competencies:
- Minimum of 5 years’ experience in program management, finance and admin management, and communications.
- Experience in reporting on project progress and performance, including the achievement of project objectives.
- Experience with the non-profit sector, donor relations, and/or private sector engagement.
- Experience with social media account management and content development preferred
- Experience with skilling initiatives, including curriculum curation and training preferred.
Skills:
- Demonstrated project management skills, preferably as applied to in digital skilling programs
- Strong organization skills, ability to multi-task, with attention to detail.
- Strong understanding of budgets, spending projections, and project financial management.
- Good communication and interpersonal skills with the ability to manage stakeholder relationships including project partners, internal and external teams
- Strong verbal and written communication skills in English and Bahasa Melayu.
- Proven ability to work independently and ability to work from home when required.
- Proficiency in MS Word and Excel, remote meeting (such as Microsoft Teams or Zoom) and Learning
- Management Systems, email and internet applications.
- Proficiency in website design, branding, including visual design in PowerPoint, Adobe Acrobat, Photoshop,
- Canva, and similar software, is an advantage.
Job functions
Program Support
- Provide support in implementing and monitoring program activities (e.g., event organizing, documentation, travel arrangements, coordination, etc.,)
- Regular contact with government officials and agencies in Malaysia and across Asia as needed, business sector, civil society organizations, professional organizations, and academic and other local institutions.
- Draft periodic reports either for the purpose of the Foundation’s internal reporting or for donor’s reporting requirements.
- Track on-going activities of partners/grantees and ensure that timely updates and reports are received from partners/grantees.
- Assist the FSA Program Lead in developing and managing new projects under the FSA platform
Financial Management and Project Administration
- Consult with finance and administration units on all logistical, administrative, and financial aspects of program activities and arrangement.
- Provide administrative and logistical assistance to the team, i.e. travel arrangements, events/training/workshop organizing and management.
- Assist in the publication of any materials that will be produced by the FSA and/or TAF Malaysia office.
- Manage program related filing systems both in electronic and hard copy format.
- Following Foundation policies and practices, ensure that all financial documentation related to project activities is prepared, updated, and settled, including supporting documents.
- Assist the FSA Program Lead with grant management processes and budget related arrangements related to the implementation of program activities.
Other
- Participate in relevant Foundation initiatives, tasks as assigned.
- Contribute to articles, written materials, and documentation for publication as assigned.
- Participate in meetings and events with corporate and donor partners, governments, and civil society organizations as assigned.
- Report to Senior Program Officer / FSA Program Lead.
- Provide support to other on-going programs and activities of the Foundation as may be necessary.
- Other duties as assigned by the FSA Program Lead or Country Representative
