HCL’s CSR efforts commenced with volunteers contributing time and funds towards community development under ‘Power of One’. In 2011, HCL Foundation was officially registered as the CSR arm of HCL Technologies.

Various flagship programmes and initiatives of HCL Foundation endeavour to contribute towards national and international development goals, bringing about lasting positive impact on people and planet, through long term sustainable programs, ensuring equitable development and opportunities for all.

Active community engagement ensures optimal long-term gains and upward accountability. HCL Foundation works through Life Cycle Based, Integrated Community Development Approach with thematic focus on Early Childhood Care & Development, Education, Health, Skill Development & Livelihoods, Environment and Disaster Risk Reduction & Response Management. Child protective strategies, inclusion and gender transformative approaches remain central in all initiatives of HCL Foundation.

Over the last 10 years, the Foundation has carved its way deep into the country, interacting and engaging with communities excluded from the development process and currently has footprints across 21 States, 3 Union Territories and 118 Districts of India. Through its various programmes and initiatives, it helped connect the dots between programme and impact; between policy and implementation; between investment and deployment, to break the cycle of poverty by building resilient individuals and communities. HCL Foundation has played an enabling role, recognizing the power of people to script their own story of change, in partnership with NGOs and communities.

In 2021, as HCL Foundation celebrated a decade of stewardship and of creating socio-economic environmental codes, it cumulatively invested over ~ ₹680 Cr, with a network of 187+ partners, impacting over 2.14 million lives across 21 states and three union territories of India. As part of the green initiatives, over 52,000 acres of land have been greened and brought under sustainable community governance, 53 water bodies have been rejuvenated and 18,000+ animals have been ensured protection and treatment across rural and urban geographies.

This year, as the pandemic reset some of the world’s most fundamental priorities and changed the way organizations operate, HCL Foundation also adapted to the emerging socio-economic order. In the year that went by, we witnessed a unified commitment to global goals, technology becoming more important than ever and the world coming together to fight the pandemic. At HCL Foundation, we remained committed to addressing the socio-economic & environmental concerns, through sustainable programmes.

Presently HCL Foundation is implementing five flagship programmes, namely HCL Samuday & HCL Grant – Rural Development programmes; HCL Uday & Clean Noida – Urban Development programmes; HCL Harit (The Green Initiative) – Environment Action programme and 4 special initiatives – Power of One, Sports for Change, HCL Foundation Academy and My E-Haat.

Mission: Nurture clean, green and healthy communities where everyone is empowered and equipped to reach their full potential in partnership with its employees, communities and stakeholders, while promoting volunteerism and establishing international standards of strategic planning, implementation and measuring impact.

Objective & Purpose of the ToR

The overall objective of this ToR is to identify competent agencies/consultants to manage social media (SM) for HCL Foundation and its various flagship programmes and special initiatives. This would include creation and verification of SM handles, end-to-end management of SM accounts, audience analysis, SM strategy design and implementation, SM campaign design & execution, content creation, designing of creatives, social media marketing, optimization and analytics.

Identified agency/consultant will also be expected to regularly monitor, study and analyse the performance of posts to identify best performing posts, strengthen the strategy and ensure greater and more impactful outreach. Basis need, the agency might also be required to undertake travel, visit project locations, be a part of HCL Foundation events, shoot impactful photos and videos to document impact, update and manage the media bank and repository, and/or conduct interactions with beneficiaries to record testimonials and case studies in the communities. In addition, agency will also be required to analyse and study the current trends in the CSR and development sector, review handles of other CSR and non-profit organizations and identify handles of various Government Departments at National and State level which can be followed and tagged in the various posts to ensure alignment with the global and national priorities in the sector.

Scope of Work:

  • Identified agency will be responsible for all social media accounts of HCL Foundation across platforms (Twitter, LinkedIn, Facebook, Instagram & YouTube) and determine rich keywords and SEO friendly terms to maximize reach and visibility.

SM Handles to be managed:

  • HCL Foundation (all platforms) – SM Strategy, Account verification, SM management, Content, Design, Campaigns, Posting & Analytics  HCL Uday (all platforms) – SM Strategy, Account verification, SM management, Content, Design, Campaigns, Posting & Analytics.
  • HCL Grant (all platforms) – SM Strategy, Account verification, SM management, Content, Design, Campaigns, Posting & Analytics.
  • HCL Harit (all platforms) – Strategy for Roll-Out, Creation of Handles + SM Strategy, Account verification, SM management, Content, Design, Campaigns, Posting & Analytics.
  • My E-Haat (all platforms) – Strategy for Roll-Out, Creation of Handles + SM Strategy, Account verification, SM management, Content, Design, Campaigns, Posting.

Note: Basis the strategy and direction from the leadership, agency may be expected to create and manage few additional handles as per requirement.

Detailed Scope of Work:

Other Deliverables:

In addition to the above deliverables, the agency will also be required to work on:

1. Account management – Day-to-day scheduling of posts, creation of post copies, tagging partners, tagging government agencies/department, re-sharing posts etc.

2. Social media strategy – ensure correct tone of voice, look and feel.

3. Ensure brand consistency, grammatical and factual accuracy in marketing and social media messages.

4. Increase in followers and impressions by at least 20-30% in the first 6 months and accordingly set a quarterly target.

5. Reporting – deploy adequate tools to analyse and track performance and share a comprehensive analytical report on a monthly basis.

6. Community management of social media accounts – filtering spam comments, editing copies, tagging NGO and other partners, re-sharing partner posts and other necessary tasks related to community management.

7. Creation of campaign for newsfeed and stories to increase visibility and engagement, creation of gender sensitive and inclusive content.

8. Online Drive Link containing all creatives and analytic reports.

9. Creation of monthly/weekly content calendar.

10. Communications plan, key messages and content for HCL Foundation communication collaterals in alignment with the brand guidelines

11. Inputs, updates and editing support for existing HCL Foundation videos and website (if needed).

Qualifications and Competencies:

The agency must be an experienced social media agency or a creative/media/PR agency that has a dedicated team to manage HCL Foundation’s social media needs.

The agency must have experience of having handled social media accounts of at least one social development/CSR organization during its existence.

Fluency in English is a MUST.

Experience of using social media analytics tools including sentiments analysis to analyse social media performance and streamline social media marketing.

Creativity and Designing Skills with good knowledge of working on a variety of designing software.

Ability to work in a fast paced environment and produce quality work in a short time, within deadlines and under pressure.

Familiarity with development & NGO sector and experience of working in CSR related social media handles.

Terms & Conditions:

1. The agency/ consultant shall be available during all office hours as requested by the concerned person of contact. In case of an urgent requirement, they may be expected to extend beyond working hours to provide required support.

2. The agency/ consultant shall be qualified and have demonstrated experience of working on similar projects and assignments.

3. Ensure that all the deliverables are technically, linguistically, factually and grammatically correct, error free and it meets highest quality and brand standards, and not need further editing after completion of review.

4. Provide high quality and timely services as per satisfaction of HCL Foundation team in compliance with the prescribed guidelines and standards.

5. Observe confidentially and refrain from sharing any information, content, report, document with any other party or divulging any information about the content of the text.

6. Return the original documents and handover the final deliverables to HCL Foundation after completion of the services.

7. Proof read/editing shall be done within the stipulated deadlines in the work order.

8. The proof read and edited materials should be provided to HCL Foundation after completion of the required services in a hard copy or soft copy (as applicable).

9. The documents and content remain the copyright of HCL Foundation and should not be shared with any third party.

10. Fees will be paid upon actual services provided as per agreed rates after getting the certification of the concerned Project officer and after submission of invoice for the payment.

11. Payments will be made against signed agreement and invoices as per actual service delivery.

Submission process:

Interested agencies/ consultants are requested to carefully review the scope of work, terms & conditions and qualifications & competencies required.
