Yapan Bio, Associate Company of Piramal Pharma Limited, is a Biotechnology Company established to serve the rapidly expanding Contract Development and Manufacturing (CDMO) market for Vaccines and Biologics/Bio therapeutics. Yapan Bio has established state-of-the-art facilities for process development and GMP manufacturing for human clinical studies for both Drug Substance (DS) and Drug Product (DP) at Genome Valley in Hyderabad. The facilities include Bio-Safety Level 2+ (BSL-2+) areas to develop and manufacture high containment product classes. Yapan Bio is currently developing novel vaccines and biologics for the global innovative biotechnology companies.

The Role:
We are looking for a professional with a friendly attitude and the ability to multitask to serve as the Office Executive. The incumbent will support the operation and management of the company offices and facilities in day-to-day activities. The person in this role will also support the senior management of the company in administrative tasks.

The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks. This position requires the ability to work effectively as an individual contributor as well as in teams along with excellent interpersonal and communication skills.

Responsibilities:

  • Manage the reception desk of the company, manage calls, receive visitors and coordinate with the relevant people/teams for the same.
  • Serve as the first interface of the company, offering friendly and pleasant service to visitors and callers.
  • Organize and maintain office common areas like reception, meeting, and conference rooms etc. in a clean and presentable state.
  • Plan and coordinate senior management’s engagements/meetings/schedule including coordinating with internal teams and external stakeholders, scheduling appointments, managing calendar etc.
  • Manage and coordinate travel for senior management including planning the itinerary, making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations etc. as required.
  • Help prepare for meetings, take notes/minutes from meetings etc.
  • Filing and retrieving records, documents, and reports etc.
  • Manage communication/coordination with internal and external stakeholders.
  • Support HR and Admin team in management and coordination of events and activities.
  • Maintain office supplies and inventory.
  • Provide general administrative support.
  • Perform other duties as required.

Education and Experience Required:

  • Graduate degree in any field.
  • At least two years of prior experience in a related role/field.
  • Ability to work with computer-controlled systems and competency in Microsoft applications including Word, Excel, PowerPoint, and Outlook.
  • Excellent organization and planning skills.
  • Excellent verbal and written English communications skills.
  • Strong interpersonal skills.
  • Attention to detail.
