 1. Grantmaking Operations Director

POSITION SUMMARY

The Director of Grantmaking Operations turns the Foundation’s grantmaking philosophy and approaches into practices and reality, ensuring that community leaders receive the resources that support them to advance racial justice and equity in Washington and beyond.

The Director manages the Grantmaking Operations (GO) Team, which is responsible for accurately and expeditiously processing and paying the Foundation’s grants. The Director has ownership and oversight responsibility for the Foundation’s grants management and Contact & Relationship Management (CRM) system as well as the overall grantmaking practices and procedures of the organization. Finally, the Director is a leader in developing, promoting, and enhancing Inatai’s grantmaking culture, which is focused on accessibility, relationships, learning, connection, and consistency.

  • The Olympic Peninsula, with special attention to Jefferson, Clallam, and Grays Harbor counties
  • North Central Washington, with special attention to Douglas, Chelan, Okanogan, and Kittitas counties
  • North Eastern Washington, with special attention to Pend Oreille, Stevens, Ferry and Lincoln counties

In addition to these regions, we would like to give priority to Adams, Asotin, Cowlitz, Lewis, Mason, Skagit, Skamania, and Whitman counties.

We currently have offices in Seattle and Pasco. Team members connected to an office will work in the office at least three days per week. Team members not connected to an office will work remotely.

Some early morning, evening, and weekend hours will be required, and occasional statewide and regional travel should be expected. All employees participate in our offsite retreats, which often require travel and overnight stays.

PRIMARY RESPONSIBILITIES

  • Develop and maintain grantmaking policies, tools, and guides for team members and grantees (e.g., proposal guidelines, reporting guidelines, award letters/grant agreement templates, institutional policy guides, other reference materials)
  • Oversee all aspects of pre-proposal, proposal, award, and post-award grants management to ensure that Inatai practices are aligned with our organizational and operational values
  • Oversee the training of new and current Foundation team members on grantmaking processes, protocols, due diligence, and the Inatai culture of grantmaking
  • Collaborate with the Vice President of Grantmaking and legal counsel on legal and compliance issues related to individual escalations and grants management as a whole; ensure that resolutions are aligned to Inatai values and practices
  • Lead and manage a centralized GMS/CRM database that tracks relationships, operationalizes grantmaking, and supports contract management, events, and policy advocacy work
  • Work with the GO team and other internal stakeholders to scope, design, and implement a new combined GMS/CRM solution in 2024 to meet the Foundation’s growing needs
  • Produce reports and analysis that guide Inatai grantmakers and the grantmaking strategy to be timely, on-budget, accountable to communities, and in alignment with the Foundation’s mission
  • Conduct periodic reviews of grantmaking data for accuracy and integrity
  • Hire, coach, and manage a multi-racial, geographically distributed team of at least four grantmaking operations professionals
  • Provide operating budget oversight for the full GO Team as well as the GMS/CRM system
  • Actively participate as a culture-bearer for Inatai’s organization-wide culture and the implementation of its 50-Year Vision, as a part of the Leadership Team
  • Contribute one’s own ideas, perspectives, and lived experiences to the emerging culture of the Foundation
  • Assume other responsibilities and explore new opportunities that arise with the evolving needs and aspirations of the Foundation

QUALIFICATIONS

  • A deep commitment to equity and social justice, and strong alignment with our organizational values

  • Demonstrated ability to cultivate relationships and work effectively and respectfully with politically, ideologically, culturally, and geographically diverse people and communities
  • Minimum of eight years of related work experience with at least five years in a grants manager/officer role at grantmaking organization (“funder”)
  • Experience managing and developing multi-racial teams
  • In-depth knowledge of grants management regulations and practices to support the complete grantmaking lifecycle
  • Strong systems orientation, with a track record of enhancing existing technologies
  • Familiarity with leading and implementing a grantmaking system
  • Active engagement with grants management peers about connecting and sharing grantmaking resources and strategies
  • Experience with Salesforce, with administrator certification preferred
  • Experience working with 501(c)4 grantmaking preferred
  • Demonstrated leadership skills and the ability to build strong, collaborative relationships across all levels of an organization
  • Humility and curiosity, and an understanding of how these qualities are connected to success in this role
  • Demonstrated capacity for self-reflection
  • Strong verbal, non-verbal, and written communication skills combined with the ability to listen deeply and authentically

COMPENSATION

In addition to a positive and flexible work culture, we attract, retain, and motivate exceptional people with an equitable and competitive compensation package. Salary ranges are set according to an explicit compensation policy, and relevant data are reviewed when setting ranges for each position. The salary range for this position is $160,000 to $190,000. A compensation enhancement is provided to employees with indigenous or advanced language proficiency in more than one language that they utilize to advance the Foundation’s work across Washington.

 2. Program Associate

POSITION SUMMARY

The Program Associate reports to the Program Manager on the Grantmaking team and is a champion of effective processes that result in the Foundation making timely, accurate grants that support community-based organizations throughout Washington. The Associate works on cross-department taskforces throughout the organization to ensure that Inatai team members have the knowledge and tools that they need. The Program Associate’s work supports Inatai to develop strong relationships, provide resources to communities throughout Washington, and to make collective progress toward building community power for racial justice and equity.

  • Provide project coordination support for the Foundation’s Grantmaking funds, including scheduling, document tracking, drafting agendas, tracking notes and next steps, and ensuring the team meets its grantmaking deadlines
  • Support email and phone correspondence with grantees as appropriate
  • Provide project coordination support and on-site management for Grantmaking department events, including scheduling meetings, notetaking, tracking deadlines, drafting communication materials, and managing attendee correspondence
  • Provide on-site support for internal Grantmaking meetings and retreats
  • Support the Grantmaking team orientation process by completing intakes with the hiring manager, scheduling new staff orientations, training, and supporting a smooth introduction to the team
  • Support drafting and editing for quarterly Grantmaking memos
  • Use internal communication tools such as Teams, Outlook, and Sharepoint to support the Grantmaking department with updates, reminders, and overall information sharing

3. Strategy and Impact Associate

The Strategy and Impact Associate provides administrative, project management, and strategy support to the Foundation’s Strategy and Impact department. This position reports to the Senior Program Officer and includes responsibilities connected to the Targeted and Influence Funds’ portfolios and grantmaking strategies.

  • Anticipate potential project management barriers and work with the team to resolve any obstacles to successful project completion
  • Support scheduling and calendaring for Program Officers, including but not limited to drafting agendas, coordinating internal and external meetings, and moving documents through the approval process
  • Organize and maintain the internal file management system
  • Field electronic communications between the Target and Influence Funds team, internal stakeholders, external partners, and grantees
  • Utilize the Foundation’s customer relationship management tool to create records and track grantmaking processes and payments to grantees
  • Support logistics planning and on-site management for events
  • Provide coordination support for events, including agenda development, scheduling, notetaking, and tracking deadlines and budgets
  • Ensure that event set-up and execution run smoothly
